BOOK CA NOTARY PRIVACY POLICY Last Updated: July 24, 2026 Effective Date: July 20, 2026 Book CA Notary (“we,” “us,” or “our”) respects your privacy. This Privacy Policy explains what information we collect when you visit our website or request notary services, how we use that information, how we retain and protect it, and the choices you have. 1. Information We Collect We collect information you voluntarily provide when you submit an appointment request, communicate with us, or request notary services. This may include:     •    your name;     •    phone number;     •    email address;     •    mailing or service address;     •    details you choose to share about the notarization you need;     •    appointment and service information; and     •    any documents you upload through our booking form. We may also collect limited technical information needed for website functionality, such as basic session or browser information. 2. How We Use Your Information We use your information only for the following purposes:     •    to respond to your request;     •    to schedule, prepare for, and complete the notarial act you asked for;     •    to communicate with you about your appointment or requested service;     •    to maintain the notary journal and other records required by California law;     •    to operate, secure, and improve our website and internal booking workflow; and     •    to comply with applicable legal obligations. We do not sell your personal information, and we do not share it with third parties for their marketing purposes. 3. Notary Journal and Required Records California law requires every notary public to maintain a sequential journal of notarial acts. The journal records information such as the date and time of the act, the type of notarial act performed, the signer’s name and signature, and the identification presented. The notary journal is a legal record protected under California law and is disclosed only when specifically required or otherwise permitted by law. 4. Document Security and Retention Any documents you upload through our booking form are stored in encrypted storage and protected by access controls and short-lived signed links where applicable. Uploaded documents are retained for the retention period configured in our booking system. After that configured retention period expires, the files are securely deleted from encrypted storage and the deletion action is recorded in our audit log. If the retention period is set to 0, automatic deletion is disabled, and the files remain in storage until an administrator deletes them or the related booking is deleted. Uploaded documents are never attached to email and are never shared with parties outside the appointment except as needed to provide the requested service, comply with law, or protect our rights and safety. If you request deletion of uploaded documents before the configured retention period expires, we will delete them when operationally feasible, unless we must retain them for legal, regulatory, accounting, dispute-resolution, security, or business-record purposes. 5. Cookies and Analytics Our website may use minimal cookies or similar technologies for basic functionality, such as remembering session state in the admin dashboard. We do not use third-party advertising cookies. If we use any third-party analytics, booking, payment, map, or embedded services, those providers may collect information in accordance with their own privacy practices. 6. Children Our services are intended for adults. We do not knowingly collect personal information from anyone under 18. 7. Your Choices You may request that we delete the appointment request record and any uploaded documents associated with it by contacting us at mailto:BookCAnotary@gmail.com or 916-770-1819. Records that we are legally required to keep, including entries in the notary journal and any other required records, cannot be deleted, although the underlying uploaded documents may be deleted when permitted by law and our retention practices described above. Subject to applicable law, you may also request access to, correction of, or deletion of certain personal information we maintain about you. 8. Communications If you contact us or submit an appointment request, you consent to us contacting you about your request, appointment, or requested notary service using the contact information you provide. 9. Third-Party Links Our website may contain links to third-party websites or services. We are not responsible for the privacy practices of those third parties. 10.
